Artificial intelligence is rapidly changing the way we search for and analyse information. Thanks to IoT tools, we can get more accurate answers without excessive information or advertising. In this article, we will discuss how different IoT tools help to make the most of information: Perplexity AI helps you find reliable data quickly, NotebookLM makes it easier to understand complex documents, and ChatGPT can be used in Google Sheets and Excel environments to automate everyday tasks.

Perplexity

Perplexity is a search tool that offers innovative features to make finding information easier. While search engines such as Google and Bing already exist, with Perplexity it is possible to get specific, source-based answers. It uses a variety of large language models (LLMs), including OpenAI, which can generalise and generate information.

Unlike traditional search engines, Perplexity relies on a chatbot-like approach and allows you to ask questions in plain language, such as “What is the least visited country?”

The platform’s artificial intelligence responds by providing summaries with source citations (usually websites and articles), and users can then ask follow-up questions and delve deeper into the specific topic. This makes information retrieval much easier.

Perplexity is free to use, but you can also choose a paid plan for $20/month, which allows you to use the image generation features, upload personal files and use the unlimited Perplexity Assistant. The free version also allows you to upload, but only 3 files per day and ask to have them analysed.

An example of using Perplexity – finding relevant content

With all businesses communicating on social networks and content from every field in sight, Perplexity’s DeepSeek feature helps you discover what else to say to your audience.

  1. After logging in to perplexity.ai, you need to select the Reasoning R1 model.
  1. Then make a first enquiry that describes your business and what you are looking for:

“Analyze content gaps and opportunities in sustainability over the past 6 months. Consider:

  • Most frequently asked questions not fully addressed
  • Popular topics lacking in-depth coverage
  • Emerging trends with limited content
  • Underserved audience segments
  • High-engagement topics with outdated information”

Perplexity will start with an in-depth analysis, followed by an answer.

  1. You can then ask what formats and platforms would work best for the content suggested above. You can use the following prompt:

“Based on the content gaps identified, help me understand how my target audience in sustainability prefers to consume content. What formats and platforms drive the highest engagement? Include specific examples of successful content pieces and what made them perform well.”

  1. Finally, ask Perplexity to create a content plan. Sample request:

“Using the identified gaps and format preferences, help me develop a 14-day content strategy for LinkedIn and Instagram. What topics should I prioritise? How should I approach each topic to stand out from existing content? Consider current trends, seasonal factors, and audience pain points.”

You will get better answers with just 1-2 questions per enquiry.

NotebookLM

NotebookLM is an IoT tool developed by Google for analysing documents and organising information. It allows you to summarise content, find answers to questions, clarify concepts and analyse complex texts. Unlike traditional document reading tools, NotebookLM allows you to actively work with files in addition to viewing them. Users can ask the system to explain complex concepts, generate summaries or find specific facts in large texts.

In addition, IoT is able to link information from multiple documents, making it the perfect tool for studies or projects requiring in-depth analysis. It is particularly useful for students, researchers and all professionals working with large volumes of documents.

Example of using NotebookLM – understanding complex documents

NotebookLM helps you understand even the most complex documents.

  1. Log in to notebooklm.google with your Google account. Click “Try NotebookLM” to get started.
  2. Upload the document you want. NotebookLM accepts Google Docs, Google Slides, PDFs, text content, web links, Youtube links and audio files.
  1. NotebookLM will immediately provide a short summary of the full document and recommendations on related issues. NotebookLM accepts even large pdf files.
  1. Ask your question and NotebookLM will give you an easy-to-understand answer. For each answer, you will see calculations that explain which part of the document was used to answer.

SheetGPT

SheetGPT, another AI-based tool, allows you to integrate ChatGPT into Google Sheets and Excel, thus automating many data processing and analysis tasks. It is particularly useful for data cleansing, as it makes it easy to clean up messy lists, remove duplicates and optimise databases. For content creation, the tool allows the automatic generation of SEO-optimised product descriptions, meta-texts or social media posts, which is particularly useful when creating large amounts of similar content.

SheetGPT also facilitates data analysis by being able to identify sales trends, customer behaviour or even monitor competitors’ prices, providing clear insights in plain language. The tool also supports translation automation, making it easy to translate content into different languages directly in the spreadsheet – particularly useful when localising products or services for international markets. Additionally, sentiment analysis is available, which automatically categorises customer reviews by emotion: positive, negative or neutral. All of these features allow you to work efficiently with data and make informed business decisions.

Example of using SheetGPT – Creating SEO profiles

SheetGPT is particularly useful for SEO content creation, for example, it can automatically create SEO descriptions for blogs based only on the blog links.

  1. Log in to sheetgpt.ai with your Google account and then install the SheetGPT extension. Follow the links carefully when downloading the extension as it will still need to be enabled.
  2. Open Google Sheets or Excel. If you haven’t already, enter the data you want. In this example, we will create “meta descriptions” for existing pages.
  1. Enter the query you need or tick the boxes you want to work with. SheetGPT will perform the necessary actions. Queries in SheetGPT should be in the following format, starting with “=GPT”. In this case, we write =GPT(“write 160 character meta description” & A2)
  1. Review the results generated and make corrections if necessary.
